Festival Rules & Ticket Sales Policies
The Why Wait Arts Society, organizers of Wicked Woods Music Festival, acknowledges with respect and gratitude that the Event takes place on the traditional, ancestral, and unceded lands of the Akisqnuk First Nation. We invite all participants to recognize and honor the past, present, and future of the Akisqnuk peoples when entering the festival grounds.
Event Rules & Ticket Sales Policies
The following Rules & Policies form part of your sales agreement with the Why Wait Arts Society (“WW Society”) for entry into the 2026 Wicked Woods Music Festival (the “Event”), which is held at the Raven’s Nest Resort and Campground, located at 3901 Highway 93/95, Fairmont Hot Springs, British Columbia (the “Property”). A map of the Event location is provided on our website. Please ensure that you have read and understood the Event Rules and Policies. WW Society will rely on the application of these Rules and Policies in the event of a dispute over any of the matters set out below:
This is a 19+ Event
As stated in the Release of Liability and Waiver Agreement, every participant MUST BE 19 YEARS OF AGE OR OLDER to enter the Event. There are no exceptions. Event staff will be verifying participants’ age, and you will be required to present a government-issued photo ID as a requirement for entry. Failure to present the required ID proving your identity and age will result in refused entry.
Exchanges and Refunds
All ticket sales are final. Wicked Woods Music Festival tickets are non-refundable and non-exchangeable, except as expressly required by law. WW Society shall not be liable for any refunds, exchanges, or compensation in the event of termination, cancellation, or postponement of the Event due to Force Majeure, which shall include, but not be limited to, extreme weather, wildfire, acts of God, government regulations, pandemics, or other circumstances beyond the reasonable control of WW Society. If the Event is terminated after commencement, no refunds will be issued. Tickets may only be transferred through the official User Portal system.
Arrival Policy
General Admission tickets include access to the Event from 8:00 a.m. Friday, September 4th, 2026. WW Society offers early access to the festival grounds from Thursday, September 3rd, 2026, for a fee. Early Entry Fee rates will be released on the Event website prior to the festival. The Ticket Gate opens at 8:00 a.m. sharp on Thursday, September 3rd, 2026. Festival guests arriving before this time will not be allowed entry into the Event.
Online User Portal Account
All approved online sales will automatically generate an individual User Portal under the purchaser's e-mail address. Upon receiving payment WW Society will email a transaction receipt which includes the Order ID # and instructions on how to log in to the User Portal to view the order online.
- The User Portal allows participants to: 
- Review their order 
- Update payment details for a payment plan 
- Transfer items to another person 
- Update personal information 
Closer to the festival date, all participants will need to log into their User Portal to download their ticket to gain access to the festival. WW Society will email participants with instructions regarding how to download their tickets prior to the festival.
Data Collection Clause for Event Website
WW Society complies with the British Columbia Personal Information Protection Act (PIPA) and other applicable privacy laws. Personal information collected through ticket purchases and User Portals is used solely for event administration, communications, and services.
Types of Data Collected:
- Personal Information: Name, email address, phone number, postal address, and any other information voluntarily provided by users during registration or ticket purchase. 
- Non-Personal Information: Browser information, device type, IP address, cookies, and usage data collected through analytics tools. 
Purpose of Data Collection
- Event Registration: To facilitate event registration and ticket purchase. 
- Communication: To send event updates, confirmations, and important information related to the event. 
- Analytics: To analyze user behavior on our website and improve our services. 
- Marketing: To send promotional materials or offers related to our events with user consent. 
Data Sharing
We may share user data with the following third parties:
Event Organizers: Information provided during event registration may be shared with the event organizers.
Service Providers: We may use third-party service providers for payment processing, analytics, and marketing. These providers may have access to user data as necessary for their services.
Data Security
We take reasonable measures to protect user data. However, please be aware that no method of online transmission or storage is entirely secure.
User Rights
- Users have the following rights regarding their data: 
- Access: Users can request access to their personal data we have collected. 
- Rectification: Users can request corrections to inaccurate data. 
- Deletion: Users can request the deletion of their data, subject to legal obligations. 
- Opt-out: Users can opt-out of receiving marketing communications. 
Cookies and Tracking Technologies
We use cookies and similar tracking technologies to enhance the user experience and gather information about user interactions with our website. By using our website and providing your information, you agree to the terms outlined in this data collection clause and our privacy policy.
Images taken at the Event
By entering the Event, participants consent to being photographed, filmed, or recorded (audio and/or video). These recordings may be used by WW Society for promotional, archival, and informational purposes without additional consent or compensation. WW Society agrees not to use participant images in a false, misleading, or defamatory manner.
Any professional photography, videography, or audio recording requires an official Wicked Woods Media Pass. All media captured on the Property is subject to a non-exclusive license granted to WW Society for promotional purposes.
Parking
Parking is provided in a designated area on the Property. Due to the high volume of traffic entering the Property from Highway #93 and #95, WW Society works in coordination with law enforcement to control and direct traffic entering the Festival.
Participants are to obey all traffic signs and directions to ensure safe, orderly entry and exit from the Festival. Participants of Wicked Woods Music Festival MUST NOT park on the shoulder of Highway #93 or #95 and must obey all traffic rules. WW Society assumes no liability for damage, theft, or loss to any vehicle or its contents, whether parked on or off the Property.
Camping
General Admission tickets include free camping in the designated areas. Participants must only camp in these designated areas on the Property. WW Society reserves the right to remove participants and their personal effects for any participants found camping outside the designated areas.
Vehicle and personal effects search
Participant admission is subject to compliance with all laws and facility rules and regulations. Participants must consent to reasonable examination & searches to ensure compliance with all provincial & federal laws, and facility rules & regulations.

Alcohol and Illegal Substances
Wicked Woods Music Festival does not prohibit guests from bringing alcohol onto the Event site. Any glass or excessive alcohol supplies found in searches will be confiscated at the organizer’s sole discretion.
Additionally, any matters involving illegal substances or activities, which are in violation of BC legislation, will be turned over to the RCMP. Participants consume alcohol at their own risk. WW Society assumes no liability for any injury, damage, or loss caused by alcohol consumption or intoxication.
Camping Packages
- Camp Within Your Allocated Site: Participants of Camping Packages will be assigned a designated site. Campsites must be set up only within that designated space. Those failing to comply will be required to reconfigure their setup or risk cancellation of services without refund. 
- Site Reservations: At this time, guests with Parking and Accommodation Packages cannot pre-select a specific campsite. Reserved Camping Packages will be assigned by Event organizers at check-in. Guests wishing to camp together are encouraged to arrive at check-in as a group and carpool whenever possible. 
- Parking Pass Requirement: A valid Parking Pass is required for every vehicle entering the Event site. Vehicles without a Parking Pass will not be permitted entry. 
- Woodland Parking Lot Passes: A limited number of Woodland Parking Lot Passes are available for participants wishing to access first-come, first-serve walk-in camping in the Juniper, Aspen, Hidden Ridge, or Raven zones. 
- Zone-Specific Camping & Parking: All zone-specific Camping, Accommodation, and Parking Passes will be honored and serviced on a first-come, first-serve basis. Space within each designated zone is guaranteed for valid pass holders; however, the exact location within the zone will be assigned at the discretion of Event staff. 
- Parking Pass Allocation: Unless otherwise specified, each Parking Pass grants a single parking space. Parking spaces will be assigned on a first-come, first-serve basis. Vehicles found parked in unauthorized locations will be towed at the owner’s expense. 
- Full-Service RV Packages: Full-Service RV Packages include daily water and sewer servicing from Friday through Sunday of the Event. Servicing is provided once per day. Participants must ensure their RV is accessible during servicing hours. 
- Gate Hours & Emergency Adjustments: WW Society reserves the right to adjust gate hours in emergency circumstances, including but not limited to safety or traffic concerns. Entry for valid ticket holders may be temporarily delayed or restricted until the situation is resolved. 
Payment Plans
WW Society offers Event tickets, Parking Pass, Camping and Accommodation Package sales on an installment basis (the “Payment Plan”). The availability of ticket and services purchased under the Payment Plan is limited and the following policies apply:
- Payment Plans Are Available Only on the Website: Participants seeking to engage in a Payment Plan must indicate so at the time of checkout. 
- Payment Frequency: Participants may select the frequency of their payment installments. The payment amounts and dates will be displayed at checkout and will be sent out in the order confirmation email issued after ticket purchase by the Event organizers. The first installment must be paid immediately at the time of purchase. Guests can review their payment schedules via their User Portal accounts. 
- Important Dates: All payment installments must be completed no later than July 30, 2026. Failure to do so will result in the cancellation of your ticket, with a credit applied to your account. 
- Pre-Authorized Payments: By choosing the Payment Plan option, you authorize WW Society to collect monthly payments from your credit card as set out in the agreed-upon payment schedule. 
- Providing Accurate Information: Participants using the Payment Plan must: - Provide accurate contact details in their online purchase order 
- Ensure sufficient funds are available on the subject credit card to pay scheduled installments throughout the payment period 
- Contact WW Society regarding any dispute prior to the monthly payment due date. If a Participant believes a payment has been initiated incorrectly, they must email sales@wickedwoods.ca immediately to address the issue 
 
- Cancellation of Payment Plan: Cancellation of a Payment Plan order must be made prior to the final installment owing. Orders can only be canceled while within the agreed-upon payment schedule. Once the final payment has been made, there is no cancellation option available. Cancellations will not result in a refund but may be credited to the ticket purchaser’s online account for a future Event purchase. 
- Credit of Canceled Payment Plan: If a Payment Plan is canceled within the agreed-upon schedule (before all installments have been completed), WW Society may issue a credit to the Participant’s online account for future Event purchases. 
- Cancellation is Final: Once a cancellation occurs, the relevant tickets, Parking Passes, and Camping Package items are released and offered for sale to other Participants. 
- Default on Payments: Failure to provide sufficient funds or resolve a failed installment may result in cancellation of your order without refund, and release of tickets back to the general pool. 
- Credit Validity: Credits issued for canceled Payment Plans must be used within 24 months from the date of issuance, after which they expire. 
Conduct
All Participants must comply with our Code of Conduct outlined here: https://www.wickedwoods.ca/code-of-conduct.
Any participant who violates this Code of Conduct may be immediately removed from the festival grounds and have their Festival Wristband and parking/camping privileges revoked, without refund. Law enforcement may be notified.
Hotel & Shuttle Packages: Fairmont Mountain View Villas
The following terms apply to all Hotel & Shuttle Packages purchased for the 2026 Wicked Woods Music Festival (“Event”). By purchasing a Hotel & Shuttle Package, the purchaser (“Guest”) agrees to the following:
- General Admission Requirement: All hotel package guests must hold a valid 2026 Wicked Woods Music Festival General Admission Ticket. Tickets and Early Entry passes are not included in Hotel Packages and must be purchased separately. 
- One Room Per Purchaser: Each Hotel & Shuttle Package corresponds to a single room at the Fairmont Mountain View Villas. The purchaser of the package is deemed the lead guest and is responsible for all conduct, obligations, and liabilities of the guests associated with that room. 
- Guest Policy: 
- Maximum of four (4) individuals per package. 
- Only registered guests submitted in advance may access hotel accommodations and shuttle benefits. 
- The purchaser will be required to provide names of all guests prior to check-in. No substitutions will be allowed after registration closes. 
- The lead purchaser assumes full liability for the conduct of all registered guests. 
- Check-In Requirements: 
- A valid credit card must be presented at check-in for a mandatory damage deposit. 
- A government-issued photo ID matching the purchaser’s booking information is required to claim the room. 
- Failure to provide valid ID and credit card will result in denied check-in without refund. 
- Transfers: Hotel & Shuttle Packages are non-transferable except by contacting hotels@wickedwoods.ca and obtaining written confirmation from WW Society. Unauthorized resale or transfer will result in cancellation of the package without refund. 
- Cancellations and Extensions: 
- All cancellations or extension requests must be submitted in writing to hotels@wickedwoods.ca no later than April 1, 2026. 
- No refunds will be issued under any circumstances. Approved cancellations will receive a credit equal to the value of the package, redeemable toward future Event purchases. Credits must be used within 24 months of issuance or they will expire. 
- Extensions for Thursday or Monday nights are subject to availability and must also be confirmed prior to April 1, 2026. 
- Package Inclusions: 
- 3 nights of hotel accommodations (September 4–6, 2026). 
- Use of on-call festival shuttle services, limited to 2 round-trip shuttles per package per day (maximum 4 registered guests per shuttle). 
- Shuttle hours: Sept 4–5 (12:00 p.m. – 6:00 a.m.), Sept 6 continuous service until Mon, Sept 7 at 12:00 p.m. 
- Festival re-entry fees waived for registered hotel package guests. 
- Conduct and Liability: 
- Hotel package guests are subject to the Event’s Code of Conduct in addition to hotel policies. 
- Any damage to hotel property, misuse of shuttle services, disruptive conduct, or violation of these Terms may result in cancellation of accommodations, denial of shuttle privileges, removal from the Event, revocation of tickets or wristbands, and/or legal liability for damages. 
- No refunds or partial credits will be issued for unused nights, missed shuttles, or early departures. 
- The purchaser agrees to indemnify and hold harmless WW Society for any costs, damages, or liabilities resulting from their actions or those of their registered guests. 
- Force Majeure: In the event of Event cancellation, postponement, or modification due to Force Majeure circumstances (including but not limited to weather, wildfire, acts of God, government regulations, pandemics, or other events beyond the control of WW Society), no refunds will be provided for Hotel & Shuttle Packages. Credits may be issued at the sole discretion of WW Society. 
No Liability: WW Society is not responsible for the quality, safety, or delivery of services provided by the Fairmont Mountain View Villas. Accommodations are subject to the hotel’s own terms and conditions in addition to these Event policies.
Release of Liability & Waiver Agreement
This Release of Liability and Waiver Agreement ("Release") is made and provided by the person signing below ("Participant") to participate in the 2026 Wicked Woods Music Festival (“Event”) and all of the activities attended at the Event ("Activities"), including the camping services as hosted by the Why Wait Arts Society (“WW Society”), a British Columbia Society and located at the Raven’s Nest Resort and Campground, 3901 Highway 93/95, Fairmont Hot Springs, British Columbia ("Property"), and for other good and valuable consideration, the Participant agrees to all Terms set forth in this Agreement.
Participant acknowledges that entering into this Release is required as a condition to participating in the Event. The Effective Date of this Release is on the date of its execution and delivery by the Participant.
Assumption of Risk
The participant understands and is aware that the Activities involve inherent risks, dangers, and hazards. The Activities include, but are not limited to, dancing, walking, swimming, camping, and general recreation in conjunction with using the facilities and amenities located on the Property. The Participant may sustain serious injury, including but not limited to temporary or permanent disability, paralysis, death, and property damage. Such risks and dangers may be caused by the Participant's own actions or inactions, the actions or inactions of others who are also participating in the Activities, the condition of the Property, adverse weather conditions, the conduct of other Participants at the Event, or the negligence of WW Society, its affiliates, and their respective directors, officers, employees, agents, representatives, shareholders, successors, and assigns ("Releasees"). PARTICIPANT VOLUNTARILY AND FREELY ASSUMES ALL RISKS, DANGERS, AND HAZARDS THAT MAY OCCUR PURSUANT TO PARTICIPATING IN THE ACTIVITIES, INCLUDING THE RISK OF INJURY, DEATH, OR PROPERTY DAMAGE, WHETHER CAUSED BY NEGLIGENCE OF THE COMPANY OR OTHERWISE, except in cases of gross negligence or willful misconduct by WW Society.
Participant's Representations
Participant acknowledges and represents that: 
(1) Participant is qualified to participate in the Activities and is 19 years of age or older; 
(2) Participant will at all times wear appropriate attire for an outdoor music festival and while participating in the Activities as a an attendee of the Event; 
(3) Participant understands that unless they have purchased specific Camping Package, they are responsible for their own provision of overnight sleeping gear should they be camping at any time during the Event; 
(4) Participant shall at all times follow all the rules and regulations for the Activities and of the Property, including rules governing parking and camping services offered by Wicked Woods Music Festival, and any other rules and regulations that may be established or modified by WW Society, which are presently attached to this Agreement as “Schedule A – 2026 Wicked Woods Music Festival Rules & Ticket Sales Policies”; 
(5) Participant has informed themselves about the Activities that will be involved in the Event, either by previous participation in the Activities or pursuant to his or her investigation; 
(6) Participant will not consume or be under the influence of any illegal substances at any time of participating in the Activities; 
(7) Participant has fully read and understands each of the provisions of this Release and acknowledges that the Participant is voluntarily waiving substantial legal rights, including the right to sue WW Society and the Releasees.
Release from Liability. Participant hereby agrees to waive and release any and all claims which Participant has or may have in the future against WW Society and the Releasees arising from the participation of the Activities for any injury, temporary or permanent disability, death, damages, liabilities, expenses, costs, and/or causes of action, now known or hereinafter known in any jurisdiction in the world, whether caused by the negligence of WW Society, the Releasees, or by any other reason. Participant acknowledges and agrees that this Release is a complete release of any responsibility of WW Society and the Releasees for any injury, temporary or permanent disability, death, damages, liabilities, expenses, costs, and/or causes of action sustained by the Participant while participating in the Activities.
Indemnification. Participant agrees to indemnify, defend, and hold WW Society, along with Releasees, harmless from and against any third-party claims, losses, liabilities, damages, expenses, and costs, including reasonable outside attorneys' fees and court costs, to the extent arising out of the Participant's participation in the Activities, to the fullest extent permitted by law, whether or not arising out of WW Society and its Releasees’ (1) negligence or willful misconduct; (2) violation of applicable law; or (3) material breach of any of the terms of this Release, and/or the Code of Conduct provided on the Wicked Woods Music Festival website at https://www.wickedwoods.ca/code-of-conduct.
No Duty to Supervise. Participant acknowledges and agrees that he or she is aware that WW Society and the Releasees have no duty to supervise the Activities of the Participant. The Releasees assume no responsibility or liability for the acts or omissions of WW Society, the Releasees, or any such related persons.
Communicable Diseases & Public Health Risks: The Participant acknowledges that communicable diseases (including, but not limited to, COVID-19) present inherent risks of illness, injury, or death. As a condition of entry, Participants voluntarily assume all risks and accept sole responsibility for any injury, illness, loss, or expenses incurred in connection with exposure to communicable diseases or public health risks while attending the Event.
Entire Agreement. This Release is the entire agreement between the parties with respect to the subject matter hereof and supersedes any prior agreement or communications between the parties, whether written, oral, electronic, or otherwise. Except as expressly provided in this Release, there are no representations, warranties, conditions, other agreements or acknowledgements, whether direct or collateral, express or implied, that form part of or affect this Release.
Governing Law. This Release shall be governed by, and construed and enforced in accordance with, the laws in force in British Columbia, excluding any conflict of laws rules or principles which might refer such construction to the laws of another jurisdiction. The Parties hereto agree to submit to the exclusive jurisdiction of the courts of British Columbia and waive any objection relating to improper venue or inconvenience forum to the conduct of any proceeding in any such court.
Severability. In the event that any term or provision, or any portion of a provision, of this Release is held to be invalid, illegal, or unenforceable in any jurisdiction, such invalidity, illegality, or unenforceability shall not affect any other term or provision of this Agreement. If any provision is held unenforceable, the remaining provisions shall remain in full force and effect.
Hotel Accommodations & Shuttle Services
 The Participant acknowledges and agrees that:
- Hotel accommodations at the Fairmont Mountain View Villas and use of associated shuttle transportation (the “Hotel Services”) are subject to these Terms and Conditions, in addition to all hotel policies and regulations. 
- Participation in Hotel Services carries inherent risks, including but not limited to risks associated with lodging facilities, use of amenities, transportation to and from the Event, and the conduct of other guests. The Participant assumes all such risks voluntarily. 
- WW Society is not responsible for the actions, omissions, or conditions of third-party service providers, including but not limited to the Fairmont Mountain View Villas, their employees, contractors, or agents. 
- The purchaser of any Hotel & Shuttle Package is fully responsible for the conduct of all registered guests under their booking, and agrees to indemnify and hold harmless WW Society and the Releasees for any damages, claims, or liabilities arising from such guests’ actions. 
- No refunds will be provided for Hotel & Shuttle Packages under any circumstances. Cancellations, if approved, will be subject to WW Society’s credit policy. 
- Any damage to hotel property, misuse of shuttle services, or violation of these Terms may result in cancellation of accommodations, removal from the Event, and/or legal liability for damages, without refund. 
Wicked Woods Music Festival acknowledges and expresses it’s gratitude to the Akisqnuk First Nations on whose sacred land we work, live, and celebrate. We recognize that our global community converges amongst the landscapes of Raven's Nest Resort and Campground, situated in the traditional territories of the Akisqnuk First Nations. 
It is here, amidst the Kootenay region's mountains, forests, and waters, that we craft the magic that is Wicked Woods Music Festival. We hope our guests will deeply resonate with and pay respect to the past, present, and future of the Akisqnuk people upon their arrival at the venue.
